What are GCMS Notes?
The GCMS (Global Case Management System) is a centralized system used by IRCC (Immigration, Refugees, and Citizenship Canada) and CBSA (Canada Border Services Agency) to track all temporary (visitor, study or work visas) and permanent immigration, and citizenship applications. Each application recorded in the GCMS system will contain, for example, the correspondence from and to IRCC, the detailed notes/comments of immigration officers having reviewed the application, all the applicant's supporting documents, etc. Having access to your GCMS notes is the only way to have an accurate view of the status of your file or to understand the reason behind a refusal.
How does it work?

2. Send Consent FormYou will then be asked to fill a form with your IRCC application information. It will be used to pre-fill the consent form that will be e-mailed to you. You will then just have to check it, sign it, and get it back to us.

3. Receive GCMS NotesWe will apply for the notes within 24h of receipt of your consent form. We will send the notes to you the same day we receive them, which should be within 30 to 40 days. We will inform you of any updates.

What can I find in the notes?
The GCMS notes will include all the relevant information used to process your immigration case. This will include your personal information, the details of the current status of your application, the notes from the immigration officer reviewing your file, etc. CBSA Notes may include additional information that is usually redacted by IRCC under statutory exemptions. When will I be receiving the notes?
According to the Access to Information Act and the Privacy Act, IRCC/CBSA has 30 days to fulfill a GCMS notes request. In some cases, IRCC/CBSA has the right, under the statute, to extend these 30 days by a reasonable period of time. You will be informed if we receive an extension notification on your GCMS notes request. We will also raise a complaint on your behalf in case of a delay. However, please note that in recent years, the number of requests made to IRCC/CBSA has exponentially increased and delays are more and more common. What do I need to apply for the notes?
Your application number is mandatory. The UCI (Unique Client Identifier) number is also asked for more reliable processing of the request. More information is available on the subject in our GCMS guide.
Can I order the notes?
As long as you have applied to IRCC (or CIC previously) for (temporary or permanent) immigration or citizenship, you have the right to request your notes.
Will ordering the notes delay my IRCC application?
The GCMS notes order is not processed by IRCC and does not in any way delay your application. However, an immigration officer has to look into your file before releasing your notes, which might be beneficial.
